Job Description

Chateau Elan Hotel and Conference Center seeks a talented food service management professional to join us in the position of Executive Meeting Coordinator at our Sebring, Florida hotel.


Responsibilities include, but not limited to the following:


  • Coordinate all details of a meeting to include: location, meals, speakers, transportation, technology and entertainment.
  • Notify various department heads of arrangements made to ensure high level of service and guest satisfaction.
  • Work with hotel staff in preparing banquet and convention rooms and creating displays and exhibits.
  • Consult with representatives of client’s group or organization to plan details such as number of persons expected, display space desired, and food service schedule.
  • Have a comprehensive understanding of the property bookings and appropriate follow-up correspondence with clients.
  • Maintain frequent contact with established and prospective clients.
  • Responsible for group departure interview, follow-up thank you letters with critique form and evaluation of suggestions to improve servicing groups.
  • Re-solicit groups.
  • Perform duties associated with business development; determine client needs and possible objections; provide persuasive arguments to close the sale; rate negotiation.

Required Skills and Experience

  • Bachelor’s degree or equivalent in the hotel management or marketing and a minimum of 2 years of experience in the hotel/travel industry sales preferred. 
  • Must be able to work flexible days and hours required: days, nights, weekends and holidays.


Knowledge, Skills and Abilities

Experienced in handling a wide range of administrative and guest service related tasks and will be able to work independently with little or no supervision.  This person must be exceedingly well organized and flexible. The ability to interact with staff at all levels in a fast-paced environment, sometimes under pressure with a high level of professionalism and confidentiality is crucial to this role.

  • Excellent customer service skills, friendly and outgoing personality
  • Excellent communication skills
  • Computer skills including Microsoft Office; experience with Delphi is a plus
  • Strong ability to work will with co-workers and supervisors in a team environment
  • Maintain a neat and professional appearance
  • Ability to remain calm and focused in a fast pace environment
  • Ability to exercise sound judgement and diffuse volatile situations
