Job Description

NASCAR seeks a talented professional to join our team in the position of Receptionist / Office Assistant based in our Charlotte office. 

 

The Receptionist / Office Assistant will serve as the first point of contact for visitors and callers to the office.  This position will be responsible for operating a multi-line telephone system as well as providing support to the facilities department by performing various administrative tasks. The individual will be tasked with providing a welcoming atmosphere, both in person and on the phone, to employees and visitors, including maintaining the appearance of the lobby, breakrooms and conference rooms.

 

Primary Roles & Responsibilities

  • Answer incoming telephone calls, answering questions, routing calls and taking messages as appropriate
  • Perform office opening procedures, completing tasks necessary to ensure the lobby is presentable and ready for employees, visitors and guests at the start of the work day
  • Maintain a welcoming appearance in the reception/lobby area throughout the day, welcome on-site visitors, directing and/or announcing as necessary, coordinate visitor access with employees, building security and building management
  • Sign for and accept incoming deliveries as needed
  • Maintain accurate phone lists, updating as necessary
  • Coordinate conference room schedules; assist employees, visitors, etc. with conference room catering needs and coordinate with IT department regarding necessary A/V requirements
  • Reserve office space for visiting employees, clients and other guests
  • Light office, breakroom and conference room cleaning as needed
  • Act as a “back-up” for various department functions
  • Assist outside departments with special projects as needed
  • Act as Emergency Representative for EAP
  • Perform other duties as requested

Candidate Profile

 

The Receptionist / Office Assistant is a highly visible role and the ideal candidate is a team player willing to tackle any task, big or small. To be successful in this role, the individual must be able to interact professionally with employees, stakeholders and visitors at every level as well as the general public, recognizing that they are always serving as representative of the company.

Required Skills/Experience:

High school diploma or general education degree (GED) and two years of related experience and/or training; or equivalent combination of education and experience.  Must have exceptional interpersonal and telephone skills, especially when handling a high volume of inbound calls

 

Other Skills and Abilities

 

  • Able to interact well with different personalities at every level of the company and the industry
  • Organized, resourceful and able to handle multiple tasks at one time in a fast-paced environment
  • Able to work with minimal supervision
  • Able to occasionally work overtime hours
